Creating a Tender without using a template

There are two ways to create a Tender on LegalEye. With a template or without a template. This guide will walk you through the steps in order to create a Tender without a template and how to access the tender creation form.

Accessing the Create Tender form from the Left-Hand Menu

Navigate to the left-hand menu in LegalEye, click the '+ Create' button located at the top of the menu, followed by 'Tender' within the side panel.

This will take you to the create form where you can begin inputting your Tender details.

Accessing the Create Tender form from the Tender Index

Alternatively, click the 'Tenders' button in the left-hand menu to navigate to the Tender Index, followed by the 'Create Tender +' button on the right side of your screen.

Clicking 'Create Tender +' will open up a selection modal where you can create a tender from a template or continue without a template. Click "Continue without a template" to navigate to the Create Tender form

Completing the Create Tender form

The tender create form is where you enter the necessary details for your tender, such as the brief, scope of work, attachments, key dates and more. Title and brief are mandatory fields.

Adding 'Attachments' to your tender

To add attachments to your tender, navigate to the '+ Add Attachments' section on the create form. Click '+ Add Attachments'

Here you can drag and drop or click to browse your folders in order to add supported files to your tender.

Once you have successfully uploaded your attachments, you can set the view permissions for each file by clicking 'Set permission'. The default setting is to only show your attachments once conflict has been cleared (file locked). However, you can set the permissions to show an attachment before conflict is cleared (file unlocked).

Adding a 'Scope of Work' to your Tender

To add a Scope of Work to your tender, navigate to the '+ Add Scope of Work' section on the create form. Click "+ Add Scope of Work"

Define your scope of work by inputting your deliverable title, deliverable description, task title, task description and fee type.

Click "Done" once you're satisfied. The deliverable and task description fields allow you to provide your legal service providers with further context about a task or deliverable. Whilst the fee type is a suggested fee type which your legal service providers can amend when creating their proposal.

Adding 'Additional Questions' to your Tender

To add questions to your tender, navigate to the '+ Additional Questions' section on the create form. Click "Additional Questions"

Type in your question title and question details, then click "Add to Questionnaire". Use the "+ Add new question" button to add more questions to your tender. When you're satisfied click 'Done' to save your questions and proceed.

Adding 'Key Dates' to your Tender

To add important dates and events to your tender, navigate to the '+ Add Key Dates' section on the create form. Click "Add Key Dates"

You can use the suggested key dates by clicking "Set dates" adding a date and time to your chosen key date, and clicking "Add to key dates" to save your entry.

Or to add a custom key date, click "Add new key date", enter the event title in the "Type event title" field, and add the start date and/or time.

Finish by cllicking "Add to key dates" to save your entry and "Done" to proceed

Adding or editing the 'Lead Contacts' on your Tender

LegalEye automatically sets the user creating a Tender as the Lead Contact, however, you can edit this or add other colleagues to this field. To "Edit Lead Contacts", navigate to and click the "Edit Lead Contacts" section in the create form

Type a name or email address into the search bar, under the suggested field select the colleague you'd like to add as a lead contact.

Set their role by either choosing from the drop-down menu or using the search field to type a new role.

Once you have selected their role, click 'Add+' to add them as a lead contact, and "Done" to save and proceed

Adding the firms or recipients you wish to invite to tender to your Tender

To add firms (or legal service providers) you wish to invite to tender, to your tender, navigate to the '+ Add Firms' section on the create form and click "Add Firms"

Using the search field, search for the law firms you'd like to invite to tender. Use the "select +" button to confirm your selection and add a law firm to the list.

Once you've finalised your selection, click "Add Law Firm" to save and proceed.

Please note! You must add a recipient in order for a law firm to receive an invitation to tender. If no recipients are specified, the law firm will not be notified.

To add recipients, navigate to the '+ Add Firms' section on the create form and click "Add Recipients" to specify who in the law firm should receive the invitation to tender.

In the modal, search and select all the recipients you wish to invite.

Click "Add" to confirm your selection and them to your tender.

Adding a recipient at this stage WILL NOT send the tender to them. The recipient will only receive an invitation to tender when you click the "Send Tender" button at the end of the form

Adding a recipient not on LegalEye to your tender

Occasionally you may want to send an invitation to tender to a contact who is not on LegalEye.

The process to add non-LegalEye contacts to your tender is the same as adding LegalEye contacts. Navigate to the '+ Add Firms' section on the create form and click the "Add Recipients" button of the law firm the non-LegalEye contact belongs to.

Navigate to the '+ Add Firms' section on the create form and click the "Add Recipients" button of the law firm the non-LegalEye contact belongs to.

Type the email of the law firm member you wish to add. LegalEye will recognise if they're a LegalEye user or not.

For non-LegalEye contacts, you will see an indication to invite them to LegalEye.

Click the contacts email and the 'Add' button to confirm your selection and proceed.

Saving your Tender as a draft

You'll find the option to save your tender at the bottom of the form. The primary call to action you'll see will depend on if you have firms or recipients added to your tender.

If you do not have any firms or recipients, you'll be presented with the "Save as Draft" button

If you have completed the 'Add Firms' section of the create form and have firms/recipients added to your tender, the 'Send Tender' button will be the primary call to action, with the 'Save as Draft' button on the left.

Clicking 'Send Tender' here will send an invitation to tender to your selected recipients.
