When creating a Direct Instruction requires a “Request for Quote”, the option to add a “Scope of Work” will appear. A scope of work will allow you to request more detailed deliverable, phase, workstream, or task based cost proposals from the firms as part of their Direct Instruction response.
If you are creating a Direct Instruction from a template which has a scope of work, the scope of work will appear pre-filled if you have made a “Request for Quote” required for the instruction. If a “Request for Quote” is not required for the direct instruction then the prefilled “Scope of Work” section will not be added to your Direct Instruction.
Step 1: Access your Direct Instruction
Navigate to a draft Direct Instruction, or create a new Direct Instruction and navigate to the “Do you require a Request for Quote?” section and ensure that you have selected “Yes”
Step 2: Navigate to the “Add Scope of Work” section
Scroll down further and click on a section called “Add Scope of Work”. If you can not see this option, then repeat step 1.
Step 3: Add a deliverable’s title to your Scope of Work
Type your first deliverable’s title in the heading box. Make the title succinct and readable. Additional information can be added in Step 4: Adding the deliverables description.
Step 4: Select the deliverable’s fee type
Once you have entered the deliverables title, you have the option to select a fee type that you would like each of your firms to use when submitting a cost proposal for each deliverable.You can select the desired fee type from the following options, or you can leave the input blank:
All you can eat,
Bundled Service,
Capped Fee,
Contingency Fee,
Fixed Fee,
Performance Based,
Retainer,
Slice & Price,
Value Pricing.
Step 5: Add the deliverable’s description
Once you have added the deliverable’s title and fee type, you may add a description to your deliverable. This input may be particularly useful for when you wish to define assumptions or deliverable scope up-front.
Click on the “Add” button on the right hand side of “deliverable Description” and a text box will appear. Input your description in the pop-up box and click on “Add to deliverable” to save your deliverable description.
Step 6: Add tasks to a deliverable
Deliverables can be further broken down into tasks where further granularity in the scope of work is required. To break a deliverable down into tasks, click on “Add task” item nested underneath the deliverable and type the task’s title and description, before selecting the appropriate fee type.
Step 7: Edit a deliverable or task
You can edit a deliverable or task’s title, by clicking on the relevant deliverable or task title. To edit a deliverable or task’s description, click on the “Edit” button on the right-hand side of the relevant deliverable or task. This will open up the text editor, where you can make all the needed edits before clicking on “Save Changes”.
Step 8: Add deliverables to your Scope of Work.
Add a second deliverable to your Scope of Work by clicking on “Add deliverable”. You can then populate the new deliverable with the relevant tasks. Repeat this process until you have added the necessary deliverables and tasks depending on your project’s scope and needs.
Delete a deliverable or task
You can delete a deliverable or a task from the scope of work by clicking on the red bin icon located next to the fee type. The deleted deliverables and tasks will be immediately removed from the scope of work.
