With a multitude of stakeholders and complex details involved in the tendering process, you must be able to efficiently communicate with the legal department. In LegalEye, you can ask questions to the legal department and track submitted responses in a simple and organised manner. For further reporting purposes, you are also able to download created questions.
Step 1: Access the Q&A feature
To access the Q&A feature, open a tender (see Accessing the Tenders Index) and click on the Q&A tab. You will be able to view all the questions you have submitted. If you or your teammates have not asked any questions, you will see a blank page with the following message: “No Q&As to display at this time”. To keep track of submitted questions, you can navigate between answered questions, by clicking on “Answered”, and unanswered questions, by clicking on “Unanswered”.
Note: Upon creation, your question will be automatically set as “Private”. When answering your question, the legal department may choose to make its answer public to allow other firms to get the same answer for a similar clarification.
Step 2 - Create a question
To create a question, click on “+ Create new”. A modal will appear, allowing you to use a diverse range of formatting options, including the option to add hyperlinks, images and tables. First, type the question’s title before inputting the relevant details in the modal. Then, click on “Post Question”. Until your question is answered you will see the following message under your question’s content: “No answer yet”.
Step 3 - Edit a question
To edit or delete a question you have created, click on the three-dot horizontal icon on the right of your question. To edit your question, click on “Edit”. This will open the question modal, where you can make the necessary modifications, before clicking on “Save changes”. To delete a question, click on “Delete”. A pop-up modal will appear, allowing you to confirm your choice.
Step 4 - Delete a question
To delete a question you have created, click on the three-dot horizontal icon on the right of your question, then click on “Delete”. A pop-up modal will appear, allowing you to confirm your choice.
Step 5 - Read an answer to a question you submitted
You will receive a platform notification once your question has been answered. Clicking on this notification will redirect you to the question. Alternatively, you can access the question through the Q&A tab and navigate to the answered questions as explained in Step 1 above.
Once you have accessed the answered question click on “Show answer” to display the legal department’s answer.
Note: Under the question’s content, you will be able to view when your question was answered.
Step 6 - Export existing questions
You can download your firm’s questions at any moment in a CSV format. To do so, click on “Export as CSV”. The CSV document will display key data about your question, including its date of creation and response, its creator and the question’s answer.
