Data Retention Settings

A data retention policy is a set of guidelines that helps organisations manage how long information must be stored for and how to dispose of that information when it is no longer needed.

The policy should also outline the purpose for processing any personal data. This ensures that you have documented proof that justifies your data retention and disposal periods.

Data retention settings will help the organisation administrator manage data retention policies within the system. This feature will keep track of how long you can keep a specific resource and the resource disposal process. This ensures that the organisation can keep meeting legal and business resource archival requirements.

In LegalEye Data Retention Settings you can easily:

  • Set how long you want to keep your data

  • Set the start of data retention

  • Use the Search and Filter function to hold/release based on resource/ data type, name and owner

  • Hold & Release the resource/data

Manage your Data/Resource Retention Settings

You can manage retention settings to follow the current retention policy. (Example: SRA Retention Policy) for each specific type of data/ resource. On LegalEye, you can manage retention for the following resource types; Law Firm Data, Articles, Events Contact/User Data, Instruction (RFI, RFP, Direct Instruction*), Secondments*

The settings apply to user data/ resource when custom retention rules or holds do not apply.

  1. Go To Admin Settings

  2. Manage Retention

  3. Click Manage button on each specific Resource type

  4. Set the Retention Period, it can be in years, months or days

  5. Set the start of the retention period

  6. Set the action after holding the resource

Hold and Release Data/Resource

Hold

Holds are placed on specific resources. Holds retain data indefinitely and take precedence over default retention rules and any custom retention rules.

  1. Go To Admin Settings

  2. Click All Resource

  3. Use Search and Filter function to locate the desired resource

  4. Click Hold and select resources you want to hold

Release

Releases are placed on specific resources that are currently being held. This feature will stop the hold and continue data/resource lifecycle as previously set on the retention settings.

  1. Go To Admin Settings

  2. Click All Resource

  3. Use Search and Filter function to locate the desired resource

  4. Click Release and select resources you want to release
